As a Shopify merchant, if your Customer Service Representatives (CSRs) work out of Shopify or Microsoft Dynamics 365 Business Central, your CSRs can sync sales credit memos from Microsoft Dynamics 365 Business Central to Shopify. This will help your finance team to be aware of refund orders and will help them in keeping the accounts in balance. The Microsoft Dynamics 365 Business Central sales credit memo to Shopify refund (add) flow syncs sales credit memos in Microsoft Dynamics 365 Business Central as refunds to Shopify. This is a delta flow that works on a scheduled basis.
Understand the flow
In the Microsoft Dynamics 365 Business Central sales credit memo to Shopify refund (add) flow, the Get sales credit memos from Microsoft Dynamics 365 Business Central export gets the sales credit memos from Microsoft Dynamics 365 Business Central since the last flow run. The Get calculated refunds from Shopify import gets the calculated refunds from Shopify. The Post refunds to Shopify import syncs refunds to Shopify. The write-back eTail refund ID import writes back the Shopify refund id in the Celigo eTail refund ID custom field in Business Central.
Configure the settings
- Log in to your integrator.io account
- Click on the Shopify - Microsoft Dynamics 365 Business Central integration app tile.
- Go to Settings > Refund > Business CentralTo Shopify.
- In the Microsoft Dynamics 365 Business Central non-inventory item to track Shopify custom refund adjustments as a line item setting, select a Microsoft Dynamics 365 Business Central non-inventory item to track your Shopify custom refund adjustments. The selected item is added as a line item on the Microsoft Dynamics 365 Business Central sales credit memo transaction.
- Click Save.
Important: The integration app does not support charge syncing as a line type in the G/L account. As a temporary fix, to set the default G/L account for a non-inventory item, it is necessary to update the “Gen. Prod. Posting Group” setting in the non-inventory item available in the Costs & Posting section. See the screenshot below for reference.
Run the flow
- Go Flows > Refund.
- Next to the Microsoft Dynamics 365 Business Central sales credit memo to Shopify refund (add) flow, use the toggle button to enable the flow.
- If you run the flow for the first time, a delta flow pop-up window is displayed. This helps you to sync the historical refunds.
- Automatic: Choose this option to process and sync data from the last flow run time OR
- Custom: Choose this option to select a custom start date and time from when you wish to process and sync data.
- Click Run.
You can see the flow status in the integrator.io Dashboard.
Understand the refund records in Microsoft Dynamics 365 Business Central and Shopify
The following screenshot is an example of a sales credit memo record in Microsoft Dynamics 365 Business Central, before syncing to Shopify. The sales credit memo record in Microsoft Dynamics 365 Business Central doesn’t have an id populated in the Celigo eTail refund id field and the Celigo eTail refund exported toggle is off since the refund is not yet done from the Shopify end.
The following screenshot is an example of a refund record in Shopify for which the refund is approved. The status in Shopify is displayed as Refunded.
