The Inventory Export flow exports only an item’s Quantity Available from NetSuite to Magento. All other item fields are handled by the Item Export flow.
- Mini export – A mini export runs every time the order import runs. It exports the available quantity of each item meeting the following criteria:
- The Magento Item box is checked on the item record.
- The Last Quantity Available Change date and time on the item is a time after the export last ran.
- The Last Modified Date date and time on the item is a time after the export last ran.
- Mass export – The mass export sends all NetSuite inventory data to Magento, regardless of when it was last updated. The mass export runs every Sunday morning (US Pacific Time). It is controlled by an internal Celigo scheduler and cannot be manually run on demand.
Very Important: Only items designated as Magento items are exported. Items are designated as Magento items if the Magento Item box is checked on the item record. By default, this check box is on the Custom tab of the item record in NetSuite as shown below. This box is not checked by default – you must make sure to check it on relevant items in order for the items to be included. Depending on which items need to be linked to Magento, you may want to use NetSuite’s mass update feature to quickly update multiple items.
The Inventory Export flow processes inventory items and all subtypes as well as assembly items and all subtypes. It only includes the value in an item’s Quantity Available standard NetSuite field. Quantities from other standard fields such as Quantity On Hand or any custom fields are not included. Items marked as drop ship or as ‘Special Order item’ in NetSuite are not included the export.
By default, the Item Name/Number field in NetSuite is used to find the corresponding product SKU in Magento. The External ID field or any text custom field may also be used, but the Internal ID cannot be used. In Magento, only the product SKU can be used for identifying items. This means that the Connector can use the NetSuite Item Name/Number, External ID, or any text custom field, but it can only attempt to match those values to the Magento SKU field.
By default, the Connector ignores an item if the Quantity Available field is blank (null) for all locations in NetSuite. However, it is possible to make the Connector treat blank values as 0 (zero). Please contact Celigo to enable this at no additional charge.
Multi-Location Inventory and Bins
The Inventory Export flow supports standard NetSuite inventory management along with multi-location inventory management. If you use multi-location inventory, the Connector sums the quantity available for each location and sends the total quantity available to Magento. If only certain locations should be considered for exporting inventory to Magento, it is possible to specify them. Please contact Celigo to do so. However, if bins are in use, all bins are included in the specified locations. It is not possible to specify certain bins to include.
Note: Unlike NetSuite, Magento does not support the concept of multi-location inventory out-of-the-box. There is only one Qty field on the Magento product record. If your Magento installation has been customized to support multi-location inventory or if you are using a plug-in for the same purpose, it is possible to customize the Connector to support this setup. Flow Schedule and Monitoring
The mini export version of the Inventory Export flow described above follows the same schedule as the Order Import flow. Real-time exports are not supported. The mass export runs every Sunday morning US Pacific Time. The flow can be monitored from the Integration Dashboard.
