The Projects data flow enables Salesforce Opportunities (and associated line items) to be exported to OpenAir as Projects (and associated tasks etc.).
Video overview of Salesforce Opportunity to OpenAir Project sync:
The following section demonstrates the data transfer:
Create an Opportunity in Salesforce.
A custom section called OpenAir section is created to enable to select the project properties from OpenAir.
OpenAir Project properties can be selected from the Salesforce Opportunity directly. e.g. Project Status, Project Owner, Project Template. These properties are duplicated from the Project template using the checkboxes. Project templates enable users to copy the phases and tasks of one project plan to another project plan without re-keying all the data. (all project and templates related information can be selected in this section. Properties defined in the Salesforce OpenAir custom section are replicated automatically in OpenAir).
Select relevant details.
Also add a Product to the Opportunity.
Save the Opportunity. After saving, you will see a new button ‘Create OpenAir Project’ appear in the Opportunity Form. Click the button to automatically transfer the Salesforce opportunity details into OpenAir as a Project.
Note: This button may be used if you want to manually sync the Opportunity to Project. If you have selected automatic sync option in the settings, then this button is not needed. (Refer Settings section).
If you want to sync Salesforce opportunity line items as Open Air project, you can use the Celigo_OpportunityToOAProject(Openair_conn) button instead of Celigo_OpportunityProductToOAProject(Openair_conn).
The data flow is triggered as shown by the fields (refresh to see).
The Salesforce Opportunity is on the way to OpenAir as a Project. First, the Connector checks if the Account associated with the Opportunity is present in OA as a Customer or not. If the Account is not present, then the Connector will first sync the Account as OpenAir Customer and then sync the Opportunity as OpenAir Project. Go to the Integrator Dashboard section to view the status of the data flow.
The real time flow takes a few seconds or minutes to complete.
Now, go to OpenAir and check that the Salesforce Opportunity is successfully exported along with its Products as OpenAir Projects and associated tasks.
Another data flow is automatically triggered that exports the Salesforce Opportunity Products as OpenAir Project Tasks. Check the data flow status in Integrator.io.
Go to OpenAir and verify that the Products are visible as OpenAir Tasks.
