Salesforce opportunity to Microsoft Dynamics 365 Business Central sales orders (add or update)

The accounts director or manager must ensure that the opportunities in Salesforce are in sync with sales orders in Microsoft Dynamics 365 Business Central.

The Salesforce opportunity to Microsoft Dynamics 365 Business Central sales order add/updateflow is a real-time flow that syncs the new or updated opportunities from Salesforce as sales orders to Microsoft Dynamics 365 Business Central so that the finance team receives the order details in real-time for faster order processing. The flow writes back the Microsoft Dynamics 365 Business Central sales order ID to the Salesforce opportunity. If the flow fails to add or update the opportunity, an error message is displayed on the integrator.io Dashboard.

The supported item types are:

  • Service

  • Material

  • Kit

Understand the flow

In the Salesforce opportunity to Microsoft Dynamics 365 Business Central sales order add/update flow, the Get opportunities from Salesforce step runs a query to get the opportunities information from Salesforce. The Lookup opportunity account from Salesforce flow step finds the opportunities in Salesforce. TheLookup sales order from Microsoft Dynamics 365 Business Central flow step checks the corresponding accounts in Microsoft Dynamics 365 Business Central by matching the Salesforce Account ID.

  • If an account is found in Microsoft Dynamics 365 Business Central, the flow moves to the Lookup sales order from Microsoft Dynamics 365 Business Central flow step.

  • If an account is not found in Microsoft Dynamics 365 Business Central, the Post sales order to Microsoft Dynamics 365 Business Central import creates an account record in Microsoft Dynamics 365 Business Central. The success count is specified on the integration.io Dashboard. 

  • If the flow fails to create or update an account, an error message is displayed on the integration.io Dashboard.

The Lookup sales order from Microsoft Dynamics 365 Business Central lookup finds the sales order in Microsoft Dynamics 365 Business Central. 

  • If an opportunity is found in Microsoft Dynamics 365 Business Central as a sales order, the flow updates the existing sales order.

  • If an opportunity is not found in Microsoft Dynamics 365 Business Central as a sales order, the Post sales order to Microsoft Dynamics 365 Business Central import creates a sales order. The success count is specified on the integration.io Dashboard.

  • The Write Microsoft Dynamics 365 Business Central ID back to Salesforce opportunityimport writes back the Microsoft Dynamics 365 Business Central ID back to the Salesforce opportunity.

The Post sales order lines to Microsoft Dynamics 365 Business Central import syncs the sales order lines to Microsoft Dynamics 365 Business Central.

Note: By default, the opportunities are restricted to sync only till the sales order is in the “Pending Approval” status.

The Salesforce opportunity to Microsoft Dynamics 365 Business Central sales order add/update flow is a real-time flow that:

  • Syncs Salesforce opportunities in the "Closed Won" stage as Microsoft Dynamics 365 Business Central sales orders. In creates Microsoft Dynamics 365 Business Central sales orders based on Salesforce opportunities.

  • After the creation of sales orders, any updates made to Salesforce opportunities are synced to Microsoft Dynamics 365 Business Central sales order. In the process of creating an opportunity as a sales order, the flow verifies if the accounts required for the sales order are missing. If missing, the account associated with the opportunity is created as an account in Microsoft Dynamics 365 Business Central.

  • The flow should sync each opportunity line item to the corresponding Microsoft Dynamics 365 Business Central sales order line by doing a search on the Microsoft Dynamics 365 Business Central SKU (Item Name/Number field) with Salesforce Product Code.

Enable the flow in the template
  1. Log in to your integrator.io account

  2. Click on the Salesforce - Microsoft Dynamics 365 Business Central template tile.

  3. Go Flows > Opportunity.

  4. Next to the Salesforce opportunity to Microsoft Dynamics 365 Business Central sales order add/update flow, use the toggle button to enable the flow.

  5. In your Salesforce Account, go to the Opportunity object.

  6. From the available list of Opportunities, click the desired opportunity.

  7. Click Edit.

  8. Make the desired updates and click Save.

If everything is configured correctly, the details that you updated in the opportunity will be automatically synced to the sales order to Microsoft Dynamics 365 Business Central.

You can see the flow status in the integrator.io Dashboard. On a successful sync, for every record, the success count of the flow including the import and export is shown as 1.

TheSalesforce opportunity to Microsoft Dynamics 365 Business Central sales order add/update flow syncs the following information to Microsoft Dynamics 365 Business Central:

  • Customer name

  • Posting date, order, date, and due date

  • Celigo Salesforce opportunity ID

  • Celigo Salesforce pricebook 2 ID

  • Celigo Salesforce sales order last updated

  • Celigo Salesforce opportunity line ID

  • Sales order line details

The flow also updates the below details to Salesforce:

  • Business Central sales order ID

  • Created By

  • Last Modified By
