Review email remittances on the Cash Application Manager dashboard

When Email Remittance in Cash Application Manager (CAM) can't match a remittance email to a bank payment with confidence, it doesn't guess. It lists the email under Email remittances on the Cash Application Manager dashboard in NetSuite, with the reason the email needs attention. Use this article to check an email's status and resolve it: approve a suggested match, link the email to the right bank payment, retry matching, or ignore the email. It's for accounts receivable team members who review cash application exceptions.

Prerequisites:

How CAM handles a remittance email

CAM reads each remittance email, saves it in NetSuite, and looks for the open bank payment it describes. When one bank payment matches, CAM applies it; otherwise, it lists the email under Email remittances for you to review.

Sequence diagram: your customer pays and sends a remittance email, the bank file brings in the payment, integrator.io reads the email and saves it in NetSuite, and CAM applies the matching bank payment or lists the email for your accounts receivable team to review.

Find emails that need attention

The Email remittances view of the Cash Application Manager dashboard lists remittance emails, their status, and why each one needs attention.

  1. In NetSuite, go to Cash Application Manager > Cash Application Manager Dashboard > Cash Application Manager Dashboard.
  2. Select Email remittances. The number next to it is the number of emails that need attention. The number stays the same when you select another status; the count for the selected status is shown at the bottom of the list.
  3. In Status, keep Needs attention to list the emails that need a person, or select All or a single status.

Each email shows its Email no., Received, Subject / sender, Payer, Amount, Payment date, Payment reference, Invoices, Status, Reason, and Bank payment. Reason explains why the email needs attention. Use Search to find an email, and select Refresh to see the latest statuses.

To see every email remittance record, including applied ones, go to Cash Application Manager > Records > Celigo Cash App Email Remittance > Search.

Email remittance statuses

Each remittance email has a status that tells you whether CAM is still working on it, has applied it, or needs a person to decide.

Flowchart of how CAM checks a remittance email and which status the email ends in: Low confidence, Needs review, Duplicate, New, Unmatched, Ambiguous, Suggested match, Matched, Applied, or Partially applied.

Status What it means What to do
New CAM recorded the email and is waiting for a matching bank payment, for example because the email arrived before the bank file. CAM checks again every 15 minutes. No action. With no match by the end of the match window plus 3 days, the status changes to Unmatched. A bank payment can be matched only after CAM processes the bank file, up to 15 minutes after import.
Suggested match One bank payment fits the email, and Apply automatically when one bank payment matches is cleared. Approve the suggested match.
Queued CAM is working on an action you selected for the email. Select Refresh after a few minutes.
Processing CAM is processing the email. Select Refresh after a few minutes.
Matched CAM matched the email to a bank payment and added the email's invoices to it. No action. CAM creates the customer payment on its next scheduled run, up to about 15 minutes later, and the status changes to Applied.
Applied CAM applied the bank payment to the email's invoices, creating one customer payment. No action.
Partially applied CAM applied the email's invoices, but part of the bank payment wasn't used. The difference, within Amount tolerance, stays unapplied on the customer payment. Open the customer payment and apply or refund the unapplied amount.
Needs review CAM found something a person must decide, such as a bank payment for a different customer, no payment amount in the email, or invoice details only in an attachment CAM couldn't read. Reason says which. Link the email to a bank payment if you know which one it belongs to. Otherwise, ignore the email and apply the payment manually.
Ambiguous More than one bank payment still fits after the tie-breakers, or another email matches the same bank payment. Link the email to the right bank payment.
Unmatched No open bank payment without invoice details matched the email by the end of the match window plus 3 days. Reason shows the date range CAM searched. Confirm that the bank file with this payment was imported, then select Retry matching. If CAM still finds no match, link the email to a bank payment.
Low confidence CAM read the email with a confidence below Minimum confidence to match, so it didn't match the email automatically. Compare the payer, amount, and invoices with the original email, then link the email to a bank payment.
Duplicate The email is a copy of a remittance email CAM already recorded. Reason gives the original email's number. Ignore the email to remove it from the list. Duplicates are included in Needs attention until you ignore them.
Ignored Someone ignored the email. Reason shows who. No action.

Some remittances always need a person, whatever their status. For the list, see Set up Email Remittance in CAM for NetSuite.

Approve a suggested match

A suggested match waits for your approval when Apply automatically when one bank payment matches is cleared on the email flow.

  1. In Status, select Suggested match.
  2. Check that Bank payment shows the right payment for the email.
  3. Select Approve match.

CAM adds the email's invoices to the bank payment and applies it. Select Refresh to see the new status.

Link an email to a bank payment

Link an email to a bank payment yourself when CAM couldn't choose one, or chose one you need to correct. Matched and Applied emails can't be changed.

  1. Next to the email, select Link to bank payment.
  2. Select the bank payment the email explains. The list shows open bank payments that have no invoice details, closest amount first. It isn't limited by Amount tolerance or Match window (days). Bank payments that are already applied or partially applied aren't listed.

CAM adds the email's invoices to that bank payment and applies it. Select Refresh to see the new status. If the email was already linked to another bank payment, CAM sets that bank payment back to Unapplied. You can't link an email that includes credits or deductions; apply those manually.

Retry matching

Select Retry matching next to an email to check it against open bank payments again, for example after a late bank file is imported. Retry uses the matching settings that were in place when CAM read the email; changes to Matching settings apply to new emails.

Ignore an email

Ignore an email you don't want to apply. Select Ignore next to the email, then confirm. The status changes to Ignored. If CAM matched the email but couldn't apply the payment, ignoring the email removes its invoices from the bank payment.

Apply an email's invoices from Bank transactions

A bank payment's detail row in Bank transactions shows the remittance email that matches it. Select Apply invoices to this bank line to add the email's invoices to that bank payment and apply it.
