Sync your delivered shipments (item receipt)

As an FBA merchant, you have to track the status of the items you ship to Amazon. You can automate your tracking process with the “Amazon Delivered Shipments to NetSuite Item Receipt” flow. This flow syncs back the item receipts to NetSuite as per the scheduled time.

Understand how the flow works

Prerequisite: If you haven’t established your shipment plan, refer to transfer order - inbound shipment.

After you group and ship the items to Amazon as per the desired plan, the final step is to mark the status of the transfer orders. On receiving the partial or full inventory, the status of the shipment in Amazon is changed from “Working” to “Receiving.” Once the item arrives, the status will change to “Delivered” at Amazon. When you enable the “Amazon Delivered Shipments to NetSuite Item Receipt” flow, the Item Receipts are created for the partial or full delivered shipments and link to the appropriate Transfer Order. Once the shipment is fully delivered to Amazon, the Transfer Order status is changed to “Received” in NetSuite.

Notes
  • Unless Item Receipts are not created for Transfer Orders, the inventory is moved to the Transit account from the source location. 
  • When Amazon under-receives inventory, partial receipts are generated in NetSuite.
  • NetSuite does not allow you to import partial item receipts if you disable the "Advanced Bin/Numbered Inventory Management" setting on the “Enable Features” page in NetSuite. This limitation is also applicable for the item types supported for Transfer Orders.

The flow syncs back the Item Receipts in NetSuite as follows:

Install the add-on

You can install this add-on from the “Subscriptions” section of your Integration App. For more information on how to install add-ons, refer to Add-Ons.

Before you set up the flow

Before you configure or install the add-ons, in NetSuite, add the following permissions to the native “Celigo eTail SmartConnectors” role or to any other appropriate custom role:

  • Adjust Inventory
  • Item Receipt  
  • Transfer Order
  • Transfer Order Approval

Configure and run the flow

  1. In integrator.io, click Amazon - NetSuite Integration App tile.
  2. Go to Settings > Integration flows > Shipments (TO).
  3. Enable the “Amazon Delivered Shipments to NetSuite Item Receipt” flow.
  4. Go to the Advanced Settings > Item Receipt tab.
  5. In the Inbound Shipment status in Amazon field, select one or more statuses for the Amazon Inbound Shipments. Only shipments with the selected status will generate an item receipt in NetSuite.
  6. Click Save.
  7. Run the “Amazon Delivered Shipments to NetSuite Item Receipt” flow.
  8. A new window opens, select the custom date from which you want to generate the item receipts.
  9. Click Run.

Find your item receipts in NetSuite

Based on the shipment, the “Amazon Delivered Shipments to NetSuite Item Receipt” flow generates one or many item receipts in NetSuite. These Item Receipts are linked to the child Transfer Orders in the “Related Records” tab.

Configure item aliases

The Transfer Order - InboundShipments add-on supports item aliases.  When you create a transfer order, select an item alias associated with the Amazon SKU for each line item. You can have a single item in NetSuite and have multiple variations or aliases for the same. When you select the parent item, all the associated aliases are populated. In the Parent SKU field, select the Amazon SKU for the particular item. While processing the item receipt, the integration app checks for the Item ID. If no match is found, then check for the item alias in the alias record.

Before you select an item alias, in NetSuite modify the saved search as follows:

  1. Login to your NetSuite account.
  2. In the global search, enter “Celigo Amazon Transfer Order Export Search.”
  3. On the “Celigo Amazon Transfer Order Export Search: Results” page, click Edit this Search.
  4. Go to the Results > Columns tab and add a new column.
  5. Add new entry as follows:
    Field Custom Label
    Parent SKU (Custom Column)
    Example: Create a custom field as “Parent SKU” and select from this list
    ParentSKU(Item Field)
  6. Click Save.

Note: Repeat steps 1-6 for the “Celigo Amazon Child Transfer Order Export Search” saved search.

Configure new mappings in the integration app

  1. Login to your integrator.io account.
  2. Click Amazon - NetSuite integration app.
  3. Go to the Shipments (TO) section.
  4. Next to the Amazon Delivered Shipments to NetSuite Item Receipt flow, click Edit mapping (Edit mappings).
  5. Select Create Child Transfer Orders in NetSuite.
  6. On the Edit mapping: Post Item Receipt to NetSuite pane, edit or configure the following mappings:
Export field (NetSuite) Import field(NetSuite) Action

lineItems[*].SellerSKU

item[*].item.internalid

Before you run the flow, ensure to perform the following:
  1. Next to this mapping, click Settings (Settings (gear) button).
  2. On the Settings pane, choose Use empty string as default value in the Action to take if unique match not found setting.
  3. Click Save & close to exit the Settings pane.

  1. Click Save & close to exit the Edit mapping: Post Item Receipt to NetSuite pane.
