Manage long-running flow alerts

The Alerts page lists every long-runtime alert you have access to in an integration, so you can search, filter, edit, delete, and manage recipients in bulk instead of opening each flow individually. This article covers managing alerts you've already created, seeing which runs have triggered one, and understanding the alert email. To create an alert, see Set alerts for long-running flows.

View and search your alerts

The Long run time alerts section lists every long-runtime alert in this integration that you have access to, with columns for Type, Flow or connection name, Recipients, Last triggered, and Actions. A flow that belongs to a flow group shows the group name alongside the flow name, and a flow generated from a multi-instance flow shows an Instance label.

Last triggered shows the date and time format set in your account profile.

  1. Open the integration.
  2. Select the Alerts tab.
  3. Enter a search term to find alerts by flow name, flow group name, or recipient name.
  4. Select Manage to filter the list by recipient or by when an alert last triggered (Last 24 Hours, Last 7 Days, Last 15 Days, Last 30 Days, or a custom range).

Edit or delete an alert

Editing an alert opens the same form used to create it, with the flow (or All flows scope) locked. You can change the limit and the recipients.

Deleting an alert removes it entirely; integrator.io stops monitoring that flow (or, for an integration-wide default, stops applying the default) for anyone on the recipient list. Whether you can delete a given alert depends on your permission level — see the table below.

  1. On the Alerts tab, find the alert in the Long run time alerts list.
  2. Select the Actions menu for that row, and then select Edit or Delete.

Manage recipients in bulk

An alert must always have at least one recipient. If a bulk removal would leave an alert with none, that alert is skipped and keeps its current recipient; the result tells you which alerts were skipped.

Every alert change — creating, editing, deleting, and bulk recipient updates — is recorded in the integration's audit log, along with who made the change. Select View audit log from an alert's Actions menu to see its history.

  1. On the Alerts tab, select the checkbox next to each alert you want to update.
  2. Select Manage, and then select Add recipients or Remove recipients.
  3. Choose the recipients to add or remove, and confirm.

Who can do what

If a user with access to an alert's integration is removed from the account, integrator.io removes them from that alert's recipient list automatically. If that leaves the alert with no recipients, integrator.io deletes it. If a flow is moved to a different integration, its alert moves with it and keeps the same limit; recipients who don't have access to the destination integration are dropped, and recipients who do are kept.

See which runs triggered an alert

A run that exceeds its limit shows an alert indicator on the Running flows dashboard, in Run history, and in the Run console. Point to the indicator to see the configured limit, the run's current duration, and how far over the limit it is.

  • On Run history, use the alert filter to show All runs, only runs that Exceeded time limit, or only runs where No alert triggered.
  • From a running flow's action menu, select Cancel run to stop the run, or Edit alert to adjust its limit. 

An alert clears itself automatically once the run reaches a final state — completed (with or without errors), canceled, or failed. You don't need to do anything to close it. The indicator stays on a completed run in Run history after the run finishes, so you can still see which past runs triggered an alert.

Understand the alert email

Each recipient gets one email per evaluation cycle, even if more than one of their alerts triggers in that cycle.

  • One flow impacted: The subject line is "Flow [flow name] is exceeding the set run time." The email shows the flow name, integration name, start time, and current run time, with a link that opens the run directly.
  • More than one flow impacted: The subject line is "[count] flows exceeded their set run time." The email lists the impacted flows in a table, each with its own link to that run. The table shows a maximum of 10 flows; if more are impacted, a "+ [number] more flows" link opens the dashboard so you can see the rest.
