Project management automation: SAP – Jira integration overview

When working together on a project, all stakeholders must know the project status, time tracking, costs, and issues. Communication should be free of any delays or errors that could risk the project. Therefore, keeping software applications synchronized quickly and reliably for project management is very important.

SAP – Jira integration

The Celigo integration platform (integrator.io) helps to connect SAP and Jira and automate complete business processes related to, but not limited to, project management including project controlling. Hence, all project stakeholders can have clear visibility and transparency about the project's key performance indicators (KPIs) at any stage. You can take advantage of the data, stay up to date on the project status, and make confident decisions, ultimately reducing friction and costs. Other benefits include reducing manual work, time, human errors, and enabling scalability.

How can communication between SAP and Jira be automated?

You can integrate or automate repetitive tasks within a business process using flows on the Celigo platform. For example, creating a project in Jira based on the information in SAP can and should be automated. Also, you can add the business process logic by filtering data on a specific field like the project status or cost center as well as using branches and mappings in a flow to recreate or even improve the business process.

Other use cases could be, for example:

  • Production planning

  • Audits

  • Purchase orders

  • Resource planning

  • Field service

  • Logistics

  • Customer service

How can you keep SAP and Jira synchronized?

SAP and Jira offer communication channels that can be accessed by other applications through application programming interfaces (APIs) or file-based data exchange. While point-to-point integrations or add-ons can be used to connect two systems, a dedicated integration and automation platform like the Celigo platform as a middleware, also known as iPaaS, adds significant value. It offers centralized resource management, collaboration, documentation, prebuilt connectors, integration apps/templates, analytics, error management, notifications, and reporting. You can run flows 24/7 based on event triggers in SAP/Jira or a schedule. An added benefit is that the Jira users don’t require their own SAP user account or vice versa, that is, they can leverage their knowledge of either one application and don’t require to be trained on both.

Example workflow between SAP and Jira

Celigo allows you to automate several workflows between SAP and Jira. For example, project management, which mostly happens in Jira; whereas, budgeting, accounting, and controlling mostly happens in SAP.

  • Project Synchronization: New and existing projects including cost centers in SAP can be synchronized to Jira to keep records like work packages, tasks, sub-tasks, work logs, epics, and issues aligned.

  • Project Updates: Jira project updates can be sent back to SAP.

  • Time Tracking: Timesheets can be synchronized between SAP and Jira.

  • Project Members: Users can be synchronized between SAP and Jira.

  • Project Controlling: Costs can be synchronized between SAP and Jira.

What SAP and Jira systems can be integrated?

How do you get started?

Here are the first steps to get started with your SAP and Jira integration:

  1. Get in contact with your CIO, or IT Operations, or Process Analyst, and Celigo.

    1. Create a process diagram that shows the actions, roles, and systems involved in the process. Analyze what can be automated and create a roadmap.

    2. Ask for process documentation, technical references, and specifications from all parties involved.

    3. Build integration and automation flows in the Celigo platform using templates, where available, from the Celigo Marketplace and Flow builder.

  2. Optional: Get help from Celigo professional services or one of the Celigo certified partners, if required, or become a Celigo builder yourself using the Celigo University (CeligoU).

If you don’t have an account yet, you can get a free trial account on the US data center, or on the EU data center to try out Celigo yourself.
